HPEC deadlines and process for students

Timeline during 2021-2022 for students who wish to apply during 2022 to matriculate in fall 2023:

Starting in October 2021: Assessment request process.

  • Identify two to five individuals (professors, mentors, supervisors, etc.) who are able to evaluate your preparation, motivation, capacity, and potential for success for your chosen health profession. We highly recommend that at least one be a science professor. You may want to consider asking more than two individuals to complete this process so that you will have at least the two minimum required complete assessments at the time that materials are due.
  • These individuals will be referred to as "Assessors" for the HPEC process.
  • As a courtesy, we recommend that you make your requests directly to your “Assessors” through a phone call or other direct contact, rather than making your request through email. For instance, you may talk with them during their posted office hours or arrange another time to talk with them over the phone or through video conferencing..
  • Arrange to talk with your potential Assessors starting in October 2021, and at the latest do so by early December. The assessments are due Mon. January 31, 2022, by 5:00 pm; and it is considered professional etiquette to allow at least four working weeks for an Assessor to meet your request. Consider end-of-semester workload that your Assessor may have, and consider holiday breaks which are not working weeks.
  • Follow up your requests with an email of thanks to each Assessor, including a copy of your resume and other pertinent information not included on your resume, such as the profession you are pursuing.
  • Be aware that the Assessor request is separate from the process of asking for letters of recommendation for your school (which are due as part of your application process which occurs after the HPEC process). However, you may be asking the same individuals to write letters of recommendation and to serve as Assessors. If so, it is a courtesy on your part to discuss the fact that you will also be asking for recommendation letters at a later date.
  • Details on submitting Assessor names will be available on the HPA Hub (Canvas). Please look for an announcement on Canvas. If you are not yet a member, request to join the HPA Hub (Canvas).

October - November 2021: Review of Student Advising Questionnaire

  • This is your time period to have an HPA advisor review your completed Student Advising Questionnaire to determine your readiness for the HPEC interview. Reviews are strongly recommended. Please note that over 58.7% of those students who did NOT complete an Applicant Advising Questionnaire, and have it reviewed ahead of time by an advisor, performed only at an average level during the HPEC process.
  • Have available a copy of your completed Student Advising Questionnaire.
  • Reviews are available by appointment (by Zoom or phone) or drop in (by Zoom).

December 2021 after end of fall semester: Start work on, seek reviews of your HPEC Interview Application Form.

  • Work on your application:
    In December 2021, after the end of fall semester, the HPEC Interview Application will be available, and you should begin working on this, allowing ample time for review before January 31, 2022. HPEC Interview Application form details and download instructions are available on the HPA Hub in mid-December. Not a member of the HPA Hub? Request to join.
  • Seek reviews and assistance with your application:
    Available by drop-in (by Zoom) or appointment (by Zoom or phone):

  • Reviews are not available after Jan. 28, 2022.
  • Workshop: Advanced Tools to Make Your Application Shine
  • Fr. Jan. 21, 2022, 3-4pm.
  • Location: Zoom link will be provided when you register.
  • TBA: link to register in advance on Handshake.
  • HPA advisors will review the components for a complete HPEC Interview application, discuss common mistakes, and highlight ways to make your content shine! Participants are asked to have a rough draft of your application to use during the workshop.

You (the student) submit:

  1. Completed HPEC application form
  2. Transcripts from all post-secondary institutions (including for Dual Enrollment coursework)
  3. Up-to-date resume (seek advice during HPA drop-in, review format in the Career Planning Guide, or on the HPA Hub)

Your (two to five) assessors submit:

  1. Completed HPEC Student Assessment form (as explained above; see HPA Hub [Canvas] for details).

If you wish to have an HPA advisor review the content of your application and materials, note:

  • Appointments | Last date Wed. Jan. 26, 2022:
    • Appointment scheduling is first-come, first-served.
    • Appointments will be offered from Mon. Jan. 10, through Wed. Jan. 23, 2022, on weekdays the university is open. This allows ample time for all HPEC students to receive advising.
    • Appointment time slots may book well in advance.
    • If you wait until the last week of appointments to schedule, it is possible that all appointment slots will be full.
    • Therefore, we encourage you to schedule an appointment earlier rather than later, if you wish to have an appointment.

  • Drop-in | Last date Th. Jan. 27, 2022:
    • Drop-in will be offered through Th. Jan. 27, 2022.
    • Drop-in is first-come, first-served.
    • If more students seek drop-in than we have time availability to accomodate, there is no guarantee of receiving drop-in advising.
    • Therefore, if you wish to seek drop-in advising, we encourage you to seek it earlier, rather than later.

Time period for a check for completeness (not content review) of application and materials:
Weekdays when the university is open, Mon. Jan. 10 - Fr. Jan. 28, 2022.

  • Hours: 8am-1pm and 2-5pm.
  • When you believe your HPEC Interview/Application materials are complete and ready to be submitted, you may call our office at 540-231-7287 to request a check for completeness.
  • This will be a check for completeness only, and not a review of the content of your materials.

Mon. Jan. 31, 2022, 5pm: Deadline to submit completed HPEC application, unofficial transcript(s), resume, and any other supporting materials.

  • If you wait until this deadline, you can expect possible delays or complications, and very possibly technical issues with your systems/computer.
  • If your application materials are not complete, and/or not submitted by the deadline, for any reason, including technical issues, there is no deadline extension.
  • As stated above, reviews are not available on this date.
